Your Impact:

In this role you are both a community manager and administrative support professional. In terms of the community, you will be managing the operations of our agency co-working space in Manhattan. By providing a cohesive and prosperous coworking environment, you ensure that the overall shared space remains functional and conducive to professional success and personal comfortability. For the administrative part of the role, you'll offer wide-ranging support functions across operations, work culture, finance, and HR at our fast-paced digital marketing agency.  

Professional characteristics & skills required to be successful in this role

  • Digital Savvy: We are a digital advertising agency, and we operate both in-office and remotely so you MUST be fluent in technology, and learn our tools and systems quickly as you will need to successfully manage most of your tasks through digital platforms.

  • Organizer/Scheduler: Be on point with coordinating travel plans, inventory, meetings etc.

  • Logistically Inclined: You know how to or have experience with operational logistics planning and follow-up—you will need to apply that planning and detail strength when assisting leadership with moving some of the team, the equipment and the furniture back to the office. Tracking, coordinating, managing processes is paramount for this role.

  • Interest in or experience with HR: Leveraging your passion for marketing and talent for coordinating, you will, at some point be creatively and effectively marketing job openings for the agency and eventually be helping with recruitment (coordinating interview schedules, reaching out to candidates, and tracking the interview pipeline process).

  • Wear Many Hats: This role requires someone that thrives in balancing a variety of tasks and supporting departments throughout the agency with administrative assistance. Again, must be the “right hand” type of person ready for anything that comes at you and prides yourself of working efficiently, timely and producing high quality, reliable results.

What Success Looks Like:

Keep the team organized and operations running smoothly, but also adapt to new challenges and tasks along the way as needed. Work closely with the agency's partners and Head of Talent to gain a valuable perspective into the leadership and inner workings of the agency, including all of the opportunities grow and learn about different facets of the business.

  • Leading our transition back to the office including managing and updating office inventory, ordering furniture and supplies, coordinating with service vendors (re: tech, electric, painters, maintainance etc.)

  • Scheduling and coordinating the travel and accommodation for all dispersed staff visiting the office in December and throughout the year (flights, hotels, transport itineraries, etc.)

  • Setting up equipment and accounts to onboard new staff in and out of the office

  • Coordinating and facilitating virtual opps meetings (taking notes, sending recaps and action steps)

  • Work culture coordination, organizing the details and plans for office/employee events like birthday/anniversary parties, company outings, in-person meetings and events etc.

  • Supporting financial accounting with timesheet reminders, check deposits, pulling simple reports

  • Coordinating recruitment and screening (resume review, scheduling interviews following up with candidates etc.)

What You Bring to the Table:

  • Office experience (as an admin in fast paced setting requiring prioritizing and completing multiple tasks simultaneously)

  • HR experience a plus (interest and ability okay too)

  • Experience using Microsoft Office and/or Apple iWork

  • Humility, a sense of humor and the ability to work well and with grace under pressure

  • The ability to both work autonomously and as part of a team -- you'll need to do both here, so we want need people who can get their marching orders and go, as well as communicate and collaborate.

  • High energy, positive and self-driven to constantly learning and improving

  • Detail-oriented and organized
